GENERAL INFORMATION

  1. Mavins.eu is a website that allows to get in touch with:
    • Patrycja Milczanowska – she provides assistance in the process of searching for the Polish documents necessary to officially confirm Polish citizenship;
    • Malgorzata Sroka  – she provides assistance in the process of getting Polish citizenship confirmation and restoration. 
  2. Patrycja Milczanowska and Małgorzata Sroka are the owners of Mavins.eu. Hereinafter they are referred as MavinS.
  3. Taxpayer identification number of Patrycja Milczanowska is: 6832015587.
  4. Taxpayer identification number of Małgorzata Sroka is: 7492050035.
  5. Client – a person who agreed with MavinS’ Terms and Conditions by making the first payment. Hereinafter called The Client.

OFFER

The scope of MavinS’ services includes:

  1. Searching for documents (hereinafter called The Searching process) regarding Polish ancestor(s) of The Client.
  2. Getting Polish citizenship confirmation for The Client (hereinafter called The Polish citizenship process).
  3. Registering non-Polish vital records of The Client in the Polish Registry Office.
  4. Translating non-Polish documents (necessary to complete Polish citizenship confirmation) to Polish language.
  5. Making notarized copies of the documents necessary to complete Polish citizenship confirmation process.
  6. Assisting in the process of restoration of Polish citizenship for The Client.
  7. Assisting in the process of name / surname change of The Client.

At the end of The Searching process The Client will receive either documents regarding their Polish ancestors or responses from the archives proving that no Polish documents regarding their Polish ancestors were found.

At the end of The Polish citizenship process The Client will either receive Polish citizenship confirmation or rejection of confirming Polish citizenship, issued by the Polish authorities. 

Each case is treated individually, therefore different scope of services will be applicable.

THE SEARCHING PROCESS – step by step

  1. The Searching process is conducted at the personal request in case The Client doesn’t have sufficient Polish documents to complete the Polish citizenship process.
  2. If the Searching process is necessary, first of all MavinS will analyse The Client’s situation and inform if there is a possibility to search for The Client’s family documents in the Polish archives. This step is free of charge.
  3. Once the Searching process is confirmed, MavinS will provide The Client with information regarding the fees and ways of making payment, together with the authorization allowing MavinS to act on The Client’s behalf.
  4. The Searching process starts after the payment is completed and MavinS receive hard copies of authorizations, signed with the original, wet signature of The Client.
  5. MavinS will prepare the necessary inquiries, make official payments and contact Polish archives, registry offices and other institutions relevant for the case. 
  6. MavinS will provide The Client with the list of such entities, monitor the process and inform The Client once the result of the search is received.
  7. The Searching process might take from 2 to 6 months. The duration depends on the practice of the archives and on the degree of complexity of the search.
  8. If the Searching process is complex and requires additional fees for the archival search, MavinS will cover them upfront and ask The Client to refund them at the end of the process. Such a situation is rare and the maximum cost of the additional queries must first be approved by The Client.
  9. At the end of the Searching process The Client will receive scanned copies of all the documents found and information if they are sufficient to proceed with the Polish citizenship process. If documents are sufficient, the Polish citizenship process can be started. If the documents are not sufficient, MavinS will send them to The Client by the registered post.
  10. The fees for the Searching process are non-refundable in case none or insufficient documents to start the Polish citizenship process are found. This is because Poland suffered a lot during the wars in the 20th century, many documents were damaged and some archival collections are not complete. MavinS make every effort to obtain The Client’s family Polish documents, but such factors are beyond control.

THE POLISH CITIZENSHIP PROCESS – step by step

  1. First of all MavinS will check the eligibility for the Polish citizenship confirmation, and it is free of charge.
  2. Then MavinS will check Polish documents of The Client’s ancestors (if there are any), which is also free of charge.
  3. If The Client is eligible for the Polish citizenship confirmation and has sufficient Polish documents, it is possible to move forward with the case. MavinS will provide information regarding the fees, instalments and ways of making payment.
  4. If The Client is eligible for Polish citizenship confirmation and does not have Polish documents regarding ancestor(s), it will be necessary to start the Searching process at first.
  5. When the 1st instalment is completed, MavinS will provide The Client with the authorization and the list of documents necessary to complete the citizenship process.
  6. All of the documents which are used for The Polish citizenship process have to be originally issued or have to be official copies certified by the relevant institution which issued them. All authorizations have to be signed with the original, wet signature of The Client. Scanned copies/regular copies of the documents are not accepted by the Polish authorities during the official procedure.
  7. Once The Client collects the necessary documents, MavinS need to receive scanned copies / good quality photos of them. This way MavinS can check whether they are correct according to Polish regulations.
  8. Once the documents are confirmed as correct by verifying the scanned copies, they must be sent as hard copies to Poland (either to Malgorzata or Patrycja addresses).
  9. Once the hard copies of documents are received, MavinS will confirm their correctness and ask for the 2nd instalment at this point.
  10. As soon as the 2nd instalment is paid, MavinS will order translations of non-Polish documents.
  11. MavinS will prepare and submit the application for the Polish citizenship confirmation and the application(s) to register non-Polish vital records just after receiving translations of documents.
  12. If it is necessary to provide more information or documents in order to have the application completed, MavinS will inform The Client about it. Usually it is recommended to meet a deadline provided by the Polish authorities, but it is allowed to ask for the prolongation of the deadline or suspension of the process.
  13. When the Polish citizenship confirmation is issued, MavinS will ask the Client to pay the 3rd instalment for assistance.
  14. As soon as the final payment is made, MavinS will prepare the documents for shipping.
  15. Finally, MavinS will send the package by a courier company to the address provided by The Client. The package will include:
    • Polish citizenship confirmation(s),
    • Polish birth certificate(s),
    • Polish marriage certificate(s) (if applicable),
    • Name change decision (if applicable),
    • Polish and non-Polish documents that have been provided by The Client in order to complete the Polish citizenship process (and were not kept by Polish authorities during the procedure.
  16. Documents that will not be returned: birth certificate (certified copy) of The Client, as well as marriage certificate (certified copy) of The Client, if applicable. They are kept by the Polish Registry Office. The Client will receive Polish birth (and marriage) certificate(s) instead. In some cases the birth certificate of The Client’s mother may be kept by the Registry Office as well.
  17. The Client can apply for the Polish passport in the nearest Polish Consulate or Polish Embassy (not Honorary), based on the Polish citizenship confirmation, Polish birth (and marriage) certificate. Consular fee for passport issuance must be paid at the Polish consulate / embassy by The Client.

PAYMENTS

  1. By making the first payment for MavinS’ assistance, The Client agrees to this Terms and Conditions.
  2. The Searching process costs a fixed fee per family,
  3. Fee for The Searching process is payable upfront.
  4. The Polish citizenship process costs a fixed fee per person.
  5. Fee for The Polish citizenship process is payable in three instalments:
    • 1st instalment (⅓ of the fee) – when The Client decides to use MavinS’ services,
    • 2nd instalment (⅓ of the fee) – once the documents are confirmed as correct and MavinS receive hardcopies of them.
    • 3rd instalment (⅓ of the fee) – when Polish citizenship confirmation is issued.
  6. Individual discounts can be applied after the case is analysed by MavinS and the final fee is accepted by MavinS and The Client.
  7. Ways of making the payment:
    • Bank transfer
    • PayPal
    • Stripe
    • Wise
    • Western Union
  8. The Client has to cover all transaction costs/bank fees depending on the chosen payment method.
  9. The fee will not be refunded if:
    • The information provided by the Client is untrue or incorrect;
    • The Searching process confirms that there are no documents regarding The Client’s ancestors in the Polish archives;
    • Rejection of Polish citizenship confirmation is issued due to reasons beyond MavinS’ control.
  10. Final payment for the Polish citizenship process must be paid in order to have the Polish citizenship confirmation and Polish vital records sent to The Client’s address.

ADDITIONAL REMARKS

  1. It is possible that The Voivodeship Office may ask for additional documents or information regarding The Client or their Polish ancestors, which are necessary to complete the Polish citizenship process.
  2. It is possible that The Voivodeship Office may issue a rejection of Polish citizenship confirmation if the Client or their Polish ancestor lost Polish citizenship (by renunciation of Polish citizenship officially before the Polish authorities; declaring German, Ukrainian, Lithuanian, Belarussian or Russian nationality; serving in the non-Polish army before 18th January 1951).
  3. It is recommended to send the hard copies of documents necessary for the Polish citizenship process by courier company (not registered mail). The Client should make sure that the documents are protected against getting wet or damaged during the shipping. 
  4. MavinS make every effort to receive The Client’s documents and return them complete and undamaged, however MavinS are not responsible for any damage made during the shipping and such issues must be resolved directly with the shipping company.

RIGHT OF WITHDRAWAL

  1. It is possible to withdraw from the contract without providing the reason within 14 days from the moment of making the payment (1st instalment for the Polish citizenship process or fee for The Searching process).
  2. The decision regarding withdrawal can be sent by The Client by email.
  3. The refund will be made within 14 days of receipt of the withdrawal request from The Client.

DISPUTES

Any disputes related to the provided service shall be resolved according to the Polish law or before the Polish court.
